Staff training records across sites: courses and certificates
For a business with several locations, the problem is often the meaning of a training status rather than the number of files. One team may use “complete” for online learning and another for a certificate received. A consistent record process helps HR and operations see what is finished and what still needs action.

Define what each record tells you
Start with the learner, role, location and exact course. Record the relevant completion information and where the evidence is held. Keep a separate place for local induction, task instruction and any authorisation or practical requirement. One tick should not be asked to describe several different decisions.
If you use a spreadsheet or training matrix alongside the business account, define its columns in plain language. The matrix is an organisational overview; the issued certificate remains the course evidence. Make sure the people updating the overview know which source they are checking.
Give each update an owner
Agree who allocates courses, reviews progress, retrieves certificates and updates the internal record. Name the supervisor who confirms local instruction. A central administrator can organise course access without becoming the person responsible for every task at every location.
Plan how a change reaches the right person. A transfer, new duty or changed procedure may need a record review and additional instruction. Do not wait for a routine reporting date if the changed work needs attention sooner.
Make language part of the learning plan
Ask which language each person understands for learning, and check the current language options for the chosen course. Avoid recording nationality as though it establishes understanding. The workplace still needs clear instructions and a reporting route the worker can use.
Keep course names consistent when different learning languages are used. This helps HR match the evidence with the required topic without treating language versions as different workplace standards. Ask the supervisor to resolve uncertainty about local terms and task understanding.
Review the evidence when the work changes
Use changes in duties, work methods or requirements as prompts to review the training plan. Do not invent a single legal expiry date for all safety courses or assume every certificate needs replacement at the same interval. Check the course information and the actual workplace or client requirement.
The business account brings this provider’s course progress and issued certificates together. If your organisation also holds external qualifications, local records or practical assessments, agree where those are managed. Do not assume the account automatically imports or verifies every external record.
Keep optional certificate issue visible
In England, free course learning and the free online test can be completed without buying a certificate. If your business chooses to obtain certificates, record issue as its own stage. HSE guidance also highlights the needs of new recruits and people changing jobs or responsibilities. Keep the local instruction for those changes identifiable.
| Planning point | Status | Action / question | Person responsible | Review date |
|---|---|---|---|---|
| Define learner, course and location identifiers. | ||||
| Separate course, certificate and local-instruction stages. | ||||
| Name each record owner and update contact. | ||||
| Check learning language with the learner. | ||||
| Set a review route for changed duties or requirements. | ||||

Use this as a planning aid. Course records, local instruction and decisions about work remain separate.

Questions and answers
Is a training matrix the same as a certificate?
No. A matrix summarises your organisation’s information. Keep the underlying course evidence and local records available.
Does every safety certificate have the same legal expiry?
Do not assume a universal expiry. Review the actual course, task, client requirements and workplace arrangements.
Will the account automatically manage all external qualifications?
Do not assume that capability. Confirm any import or integration requirement and agree where external evidence is held.
Is the business account free?
Yes. The business account has no subscription fee. Full course learning and online tests are free, with optional paid certificates after passing. Check the managed team process for your selected courses.
Does the account replace workplace instruction?
No. Use it for the provider’s course allocation and records. Keep local induction, task instruction and any other work requirements within your workplace arrangements.
